Sub: Regarding Postponement of Meeting & Pending Utility Bills.

Dear Sir,

We were supposed to sit in a meeting to discuss the overall condition of [insert name of the building, e.g. Lake-Front] apartment building. However, due to the COVID-19 pandemic, we failed to arrange the meeting. We believe you are aware that right now the Coronavirus is on the verge of reaching its peak. Therefore, it is quite uncertain actually when a meeting could be convened.

However, still, we are very hopeful to arrange the meeting at the end of June 2020. The subject meeting has become inevitable since at present we have lots of due utility bills. If the prevailing situation hinders us from sitting in this meeting then the utility bills must be cleared to keep all the utility connections functional. We are knowledgeable that the (insert apartment committees’ name, e.g. Lake-Front Apartment Owner’s Committee) maintains an FDR, which could easily be utilized to resolve the issue for the time being. In such instance, in the subsequent meeting, we will discuss and then return the amount that the Committee may invest to pay the pending bills.

Luckily, all the occupants of [insert name of the building, e.g. Lake-Front Apartment] are gentlemen, so naturally, we are assuming that they will positively respond to our suggestion and be co-operative to resolve the problem.
